Information collected
PolicyFix may receive your name, business name, contact details, website URL, the suspension wording and case details you provide, correspondence, the audit and related working files, and order, payment-status, refund, and accounting records. Stripe processes card and payment details under its own privacy terms; PolicyFix does not need your full card number.
Purposes
We use this information to assess scope, provide and improve the requested audit, communicate with you, handle payments and refunds, keep the service secure, prevent abuse, resolve complaints, and meet record-keeping or other legal obligations. We do not sell case data.
Service providers
Information may be handled by Stripe for payments; OpenAI's ChatGPT Sites service and Cloudflare for website hosting, delivery, domain, security, and routing; Google's Gmail service for support and fulfilment email; cloud-storage tools used for working files; and accountants, legal advisers, or other professional providers when reasonably necessary. Each provider handles information under its own terms and privacy practices.
Overseas processing
Some providers may process information outside Singapore. Where personal data is transferred overseas, we take reasonable steps to use recipients subject to legally enforceable obligations that provide a standard of protection comparable to Singapore's personal-data protections.
Security
We use reasonable administrative and technical safeguards appropriate to this manually fulfilled service, including restricted access and secure service-provider accounts. No method of storage or transmission is completely secure.
Retention
Raw audit files are normally deleted 90 days after delivery. Case and support correspondence is normally retained for 24 months after the case closes. Payment and accounting records are kept for at least five years from the relevant Singapore Year of Assessment, or longer when required. Backup copies may remain until deleted through the normal backup rotation. We may retain particular information longer where reasonably necessary for a dispute, complaint, fraud prevention, or legal obligation.
Your choices and requests
You may ask to access or correct personal data we hold about you, withdraw consent where processing relies on consent, or ask us to delete data that is no longer needed. Withdrawal does not affect earlier lawful use and may prevent us from continuing the service. We may need to verify your identity and may retain information where required or permitted.
Do not send sensitive data
Do not send passwords, payment-card numbers, government identification numbers, health information, or other highly sensitive data through checkout or ordinary email. Provide only the minimum case information needed. If additional evidence is relevant, agree on an appropriate transmission method with us first.
